Pursuant to the Privacy Policy, JFE Systems, Inc. ("Company" hereinafter) will properly use and handle personal information it retains that it has received from customers, trading partners, job applicants, parties submitting inquiries to the Company, and others as described below.

3.Purposes of use of personal information

【Purposes of use of personal data held(Scope of disclosure request)】

  1. Personal information printed on business cards or provided on questionnaires submitted at interviews, trade shows, seminars, and similar events will be used to respond to inquiries or requests; to introduce or provide information on products and services, trade shows, and seminars organized or provided by various Company businesses (referring hereinafter to the businesses listed under "Products & Services" on the Company website); and to solicit participation in surveys.
  2. Personal information provided by customers who request Company product catalogs or explanatory materials on the Company website will be used to respond to inquiries or requests; to introduce or provide information on products and services, trade shows, and seminars organized or provided by various Company businesses; and to solicit participation in surveys.
  3. Personal information provided on the Recruitment page of the Company website and personal information on job applicants obtained in the screening process is used solely for Company recruitment activities. This information is promptly deleted after recruitment activities are complete.
  4. Personal information provided when registering for membership on Company membership-based websites is used solely for the purposes specified on each membership-based website. (See the membership-based websites for more information.)
  5. Personal information obtained from commercially published lists, employee records, or other such documents or records may be used to introduce or provide information on products and services, trade shows, and seminars organized or provided by various Company businesses and to solicit participation in surveys.
  6. Personal information on trading partners provided through interviews, business cards, and other materials is used in the procurement and communication activities by various Company businesses.
  7. Personal information concerning shareholders is used to fulfill obligations and exercise rights pursuant to laws, regulations, or the provisions of contracts concluded with the Company; to send business reports and other materials; and for communication purposes.
  8. Personal information on participants obtained through the activities of academic societies or industry associations or external research activities is used solely within the scope of such activities.
  9. Personal information recorded from sources such as conversations with customers will be used to provide appropriate responses.

【Purposes of use of personal information entrusted to the Company from customers】

  1. Personal information entrusted to the Company from customers based on a service agreement is handled by the Company to perform consigned information-processing services, such as HR processing and payroll calculation services, information-management services, and accounting services.

4.Procedures for responding to disclosure and other requests

The Company responds as described below to customer requests for notification of purposes of use, disclosure, correction (e.g., addition, revision), cessation of use (e.g., deletion), as well as communications regarding cessation of provision to third parties and disclosure of records of provision to third parties, concerning personal data it retains that it has received from the customers in question.

(2) Procedures

Please direct requests for notification of purposes of use of personal information; disclosure, correction, or cessation of use of (e.g., to add, revise, or delete) personal information; or cessation of provision of personal information to third parties, to the contact point indicated below.

A) Requests may be submitted to the above contact point by postal mail, telephone, or email.

B) The Company will send a request form and other materials to the address you provide. (Please provide a postal address or an email address.)

C) Enter the designated information on the request form and send by postal mail to the contact point under (1) above.

  • After completing the request form, enclose official documentation of your identity and your address. See the request form for more information.
  • If you are making a request on behalf of another party, you must enclose official documentation of the identity of the individual in question and documentation of your own identity. Attach to the request form a letter of attorney bearing the signature and official seal of the individual in question. See the request form for more information.
  • When requesting the disclosure of your own personal information, in addition to the above, please enclose the applicable administrative fee. See item (3) below for specifics.

D) We will promptly investigate and process your request following review.

Responses will be sent by postal mail, email, or other means.

(3) Fees required for these procedures

When requesting disclosure, enclose 500 yen in postage stamps with the request form as an administrative fee. We cannot respond to a request for disclosure if this fee is not enclosed. There is no cost for requests involving notification of purposes of use of personal data, or the correction, cessation of use, or cessation of provision to third parties thereof.

(4) Exceptions

Simple requests (indicated below) may be made without the request form. All responses in the following cases will be sent by postal mail, telephone, or email, because such responses do not include personal information:

A) Inquiries about whether the Company retains any personal information concerning the individual
(The reply will simply indicate whether the Company possesses such personal information. Refer to the procedures under (2) above if you require the disclosure of the personal information.)

B) Requests asking simply what items of personal information the Company retains for the individual
(The reply will not provide the actual data for each information item.)

C) When a request asking the Company to stop sending information on Company products or services, trade shows, and seminars or requests for participation in surveys by postal mail or email is submitted by a customer to the contact point indicated in such postal mail or email
(In such cases, the customer will not be notified that the request has been fulfilled, unless the customer has so requested.)

(5) Handling of personal information submitted with requests

The Company uses the personal information provided by telephone or in the request form or documentation of the identity as part of the process of submitting such requests. Such information will be used solely to fulfill the requests and will be promptly erased after the Company response and/or processing is complete.

8.Provision of personal information

Except in the following cases, the Company will not provide personal information to third parties:

  1. The Company provides agents or partners with personal information strictly within the scope necessary to achieve the intended purpose of use.
  2. The Company exchanges personal information with financial institutions and other organizations to validate account numbers or credit cards in the settlement of payments and similar activities.
  3. The Company discloses/provides personal information if it has obtained the consent of the customer to do so.
  4. The Company discloses personal information if disclosure is legally compelled.

9.Subcontracting of businesses involving personal information

The Company may entrust personal information to external parties if it chooses to subcontract communications tasks. If so, the Company will select subcontractors implementing necessary security measures, based on an assessment of their levels of personal information management, and manage and supervise them appropriately.

From time to time, the Company may make changes to improve its handling of personal information received from customers, trading partners, job applicants, parties who have made inquiries to the Company, and other parties. This web page will promptly issue notification of such improvements and changes.
